ABOUT CHESLATTA CARRIER NATION
Cheslatta Carrier Nation (CCN) is a First Nations community of 350 members located 25 km south of Burns Lake in BC’s northern interior. CCN’s Core Territory encompasses the Nechako Reservoir and includes portions of Tweedsmuir and Entiako Provincial Parks.
POSITION OVERVIEW
Join Cheslatta Carrier Nation as an Executive Assistant and support senior leadership and governance operations during a medical leave term. Reporting to the Director of Operations, this role provides high-level administrative support to Chief and Council, oversees front office functions, and assists with HR and IT-related tasks.
The Executive Assistant coordinates administrative functions, manages records, and supervises front office staff while supporting HR and IT administration. The ideal candidate is highly organized, professional, and adaptable, with the ability to manage multiple priorities while maintaining confidentiality and discretion.
Key Responsibilities
Archive Administrative & Governance Support
Provide administrative and scheduling support to Chief and Council and the Director of Operations
Prepare agendas, meeting packages, and record accurate minutes
Arrange travel, organize community meetings, and coordinate special events
Follow up on action items and decisions from leadership meetings
Office Management & Supervision
Supervise front office staff, including hiring, training, and performance management
Ensure the front office is professional and welcoming to members and visitors
Oversee records management systems and administrative processes
Monitor IT service requests and liaise with tech support
HR & Administrative Coordination
Assist with job postings, interview scheduling, and hiring processes
Conduct reference checks and prepare employment agreements
Support employee onboarding and training coordination
Other Responsibilities
Assist community members with navigating services and administrative needs
Complete special projects and other duties as assigned by the Director of Operations
QUALIFICATIONS & REQUIREMENTS
Certificate or diploma in Office Administration, Public Administration, or related field
3–5 years’ experience in office administration, including 1–2 years at an executive support level
Experience supervising staff is an asset
Strong organizational, communication, and interpersonal skills
Excellent time management and attention to detail
Ability to record professional minutes and handle confidential information
Proficient in Microsoft Office and comfortable with basic IT troubleshooting
Genuine respect for Cheslatta culture, traditions, and governance
Valid Class 5 BC Driver’s License and reliable transportation
TERMS OF EMPLOYMENT
This is a full-time temporary position based at Cheslatta Carrier Nation’s office in Southbank, BC. This term role will extend for the duration of the incumbent’s medical leave. Starting compensation ranges from $25.31 to $31.98 per hour. Salary is negotiable based on qualifications and experience. Only those shortlisted will be notified.
